HR and Org automation
Cimpl is a role-based application, where you normally only see the data which is under you (unless you have a MACD or Admin role). During the implementation phase, your project manager may have insisted in getting a recurring HR file to be loaded into Cimpl.
When HR data is automated, Cimpl is updated on a daily basis. This means that you no longer need to enter new employees or departments into Cimpl manually. As well, you are 100% sure that the people in your company accessing Cimpl, will see only what they are allowed to see according to their position in the company.
The hierarchy structure does not only affect what one may see in Cimpl, it also impacts reports, dashboards, self-service as well as who can approve requests, and more.
Note: Cimpl can only support up to a maximum of 10 corporate hierarchical levels per organization.
Example: An Employee Role is the lowest: this role applies to everyone in your company, because everyone is an employee.
A Manager Role (whether a manager of employees or organizations): allows employees who are responsible for people or entities to visualize everything under their responsibility in Cimpl.
File Transfer
Some specifics to having an automated HR or Org automation:
- Each employee must have a unique identifier, such as an employee # or email address
- Each Org Level must have a unique identifier, such as an Org #
- The transferred file must be in the same format and file type as agreed upon (i.e. column placement, headers, .csv versus .xls)
Below are some of the advantages to setting up an HR or Org automation:

Creates new employees | New employees are created automatically. All of their contact information is correct based on the information received in the HR file, there are no errors or typos. All employee information is consistent. |
Updates existing employees | Existing employees having had a change in name, department, email, manager, etc are updated automatically by the HR feed. |
Updates managers of employees and/or organizations | If a manager of a department or employees changes, the HR file updates the change in Cimpl. |
Creates organizations | When new departments are created in your company, they are in the HR file, and the information creates them directly in Cimpl. |
Updates organizations | Have a re-organization? Once the information is in the HR file, the departments in Cimpl are updated without any manual intervention. |
Assigns cost centers/GL Accounts to employees (if applicable) | If cost centers or GL Accounts are assigned to employees, they can be inserted in the HR file during implementation. This way, the cost distribution/allocation information is automated based on the employees' movement. |
Assigns cost centers/GL Accounts to Departments (if applicable) | If cost centers or GL Accounts are assigned to departments, they can be inserted in the HR file during implementation. This way, the cost distribution/allocation information is automated based on the department. |
Updates addresses of employees or departments | If added to the HR file, addresses are updated, whether related to employees or organizations. All address information is consistent, without errors/typos/missing information. |
Flags employees who have left the company | Employees who have left the company and still have assets assigned to them are flagged as "pending delete". This enables you to quickly contact their manager, locate the assets, and reassign them right away. This results in cost savings for your company. |
Flags employees who have moved to another department | Employees having assets assigned to them who have transferred to another department are flagged as "pending transfer". This allows you to confirm if the employee took the assets with them, or if the assets will remain with the previous department. |
Enables or disables SSO (single-sign-on) | If you access Cimpl using Single-sign-on, once an employee has been flagged as having left the company, the SSO for this employee is disabled. ** Maintaining the SSO identifiers in the employee file is necessary to maintain the SSO functionality. |
Automatically creates user by default employee or manager role (if requested) | The HR load script can also automatically create users in System Access based on their role (employee or employee and manager). |
